I like the outlines.    Thank you for bringing this up as it has come up a number of times in our group.

 

Not sure if there is room for comments, but I would like to offer something that I added to our internal rules I wrote for transcription policies.

If I am out of line or this is not the place, please let me know as well.

 

A recommendation would be for sections around:

  • Who owns the data of the transcription – i.e. Kantara, the WG or DG etc.
  • Can notes be stricken from the transcription upon a vote of the WG or DG or meeting?
  • Retention policies for Transcription.
  • Options for Obfuscation of data (i.e. if a company name is transcribed, can it be masked or hidden either at the request of the organization or by the attendee.
  • Language mention – that it will only be done in English and not transcribed into other languages (avoids any issues with things being lost in translation) or context, intent issues.
  • Notices not only before each meeting that transcription may occur, but for attendees (i.e. vendor demo’s) and even an addition to the participation agreement letting people know.
  • Only text will be recorded should be mentioned.
  • Notes if any AI tools will be used for summarization or structuring post transcription.
  • Perhaps smaller sections that DG or WG’s may wish to add if they are working on material that is not public yet and only shared with Kantara that are subject to review but this policy as the overarching one.
